Privacy Policy

BioNanomics (“we”, “us”) is a non-profit bio-makerspace in Indiana. This policy explains what information we collect through bionanomics.com and the BioNanomics Lab Scheduler (the “Scheduler”, at bionanomics.com/lab/schedule), how we use it, and the choices you have.
What we collect
Public website. Browsing bionanomics.com does not require an account. Our hosting providers (GitHub Pages and Cloudflare) receive standard server logs such as IP address, browser type, and pages requested, which they use to operate and secure the service.
Lab Scheduler. The Scheduler is invite-only and uses Google Sign-In. When you sign in we receive from Google, with your consent:
- your email address,
- your name,
- your profile picture (optional, used only to show who is signed in).
We do not receive your Google password, contacts, calendar, files, or any other Google data. We request only the basic openid, email, and profile scopes.
While you use the Scheduler we also store the information you enter: equipment reservations (which resource, start and end time, a title, and optional notes), your notification preferences, and a session cookie that keeps you signed in.
How we use it
We use this information only to run the lab:
- to confirm you have been invited and to sign you in,
- to show the shared schedule to other approved lab members, including your name on your reservations,
- to send booking confirmations, approvals, cancellations, and “starting soon” reminders to lab managers who have subscribed to those notifications, and to you for your own reservations,
- to let lab managers coordinate access to shared equipment such as the wet lab, confocal microscope, SEM, and AFM.
We do not sell your information, use it for advertising, or share it with third parties except the service providers below.
Who can see it
Other approved members of the Scheduler can see your name and your reservations. Lab managers and administrators can additionally see your email address and manage your account. Nobody outside the invited roster can access the Scheduler.
Service providers
We rely on a small number of providers to operate the Scheduler:
- Google for sign-in.
- Cloudflare to host the Scheduler’s backend and database.
- Mailgun to deliver email notifications.
- GitHub to host the public website.
Each provider processes data only as needed to provide its service to us.
Cookies
The Scheduler sets a single essential cookie (bnx_session) so you stay signed in. It contains a random session identifier, not personal information. The public website does not use tracking or advertising cookies.
Retention and deletion
Reservation records are kept so the lab has a history of equipment use. You can cancel future reservations at any time. To have your account and personal information removed, ask a lab manager or email us at the address below; we will remove your account and detach your name from historical reservations.
Security
Data is transmitted over HTTPS. Sign-in sessions expire automatically, and only invited accounts can access the Scheduler.
Children
The Scheduler is intended for lab members, volunteers, and student interns working with BioNanomics. We do not knowingly collect information from children under 13.
Changes
If we change this policy we will update the date at the top of this page.
